The Transaction Dept is focused on ensuring our agents receive the highest level of service and that the transactions of the Team run smoothly. This department is dedicated to implementing and maintaining workflows and giving excellent customer service to clients. This role is a Transaction Coordinator and is responsible for a variety of duties that further the business of the Team, serving agents in our Indian Land office. Not only do you have to understand transactional processes, but you also have responsibilities for assisting agents from the onset of a new client. From fielding questions from other staff members, agents, and key members of management to client and vendor interaction, your communication skills have to be off the chart! You are expected to possess tech skills and problem-solving abilities. As one of our Transaction staff, you will ensure the efficient progress of paperwork, coordination, and support during the listing process, to contracts and documents, and through to the completion and closing of the file. You will be responsible for confidential and time-sensitive material, and additionally, it is crucial that you become familiar with a variety of industry concepts, practices, terminology, and procedures. Your ability to effectively communicate via phone and email, ensuring that all duties are completed accurately and delivered with high quality, is a must. This is a hybrid position with some remote work and some in-office work in our Indian Land location. Responsibilities: Here’s what you can expect as a Transaction Coordinator • Assist agents with CMAs and other docs in preparation for listing appointments • Once signed, move the listing through the process, from ordering photography to data entry in MLS to obtaining signed paperwork. • Handle all new Under Contract files, both buyer and seller, taking each through the process and on to closing • Maintain contact lists, transaction files, and calendar management • Communicate with clients and agents to keep everyone informed on the transaction’s progress • Communicate with vendors such as repairmen, attorneys, and lenders • Maintain systems and workflows, offer ideas as needed • Handle multiple files at once, be able to multitask and prioritize • Contribute to team effort, take instruction and coaching well • Handle sensitive information in a confidential manner • Reply to email, telephone, or face-to-face inquiries • Develop and update transaction systems to make them more efficient • Resolve problems and be a positive liaison between client and agent • Provide polite and professional communication Qualifications: Transaction Coordinator qualifications: • Proven real estate transaction experience • Excellent time management skills and ability to multitask and prioritize work • Attention to detail and problem-solving skills • Excellent written and verbal communication skills • Strong organizational and planning skills • Represent the Team with integrity, poise, and professionalism and uphold our Core Values. You will be an extension of our Management Team to the rest of the company and clients. • Proficient in Microsoft Suite, Skyslope, Canopy MLS, Adobe, and other web-based programs • High school diploma or equivalent; college degree preferred • Real Estate industry knowledge is required. Applicants with experience in the role will be given preference.
