About the Role

We are seeking a highly organized and proactive Executive & Personal Assistant to provide dedicated support to the CEO. This position blends executive administrative duties with personal assistance, requiring a resourceful and detail-oriented professional who thrives in a fast-paced environment. The ideal candidate will be adept at handling a variety of responsibilities with discretion, efficiency, and professionalism.

Responsibilities

Serve as the primary point of contact between the CEO and internal/external stakeholders.

Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements.

Organize and maintain information flow, ensuring the CEO is informed of priority matters.

Prepare and edit correspondence, reports, presentations, and other business documents.

Conduct research and compile data to support decision-making.

Oversee personal commitments, including travel, appointments, and family engagements.

Handle confidential documents and sensitive information securely.

Assist with financial tasks, such as processing invoices and tracking expenses.

Facilitate communication by coordinating internal announcements, meetings, and events.

Take meeting minutes and follow up on action items and deadlines.

Represent the CEO in meetings or events when necessary.

Qualifications

Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting senior executives.

Strong organizational skills with the ability to multitask and prioritize effectively.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite and other scheduling/communication tools.

Strong discretion and ability to handle confidential information with integrity.

High attention to detail and strong problem-solving abilities.

Ability to work independently and anticipate the CEO's needs proactively.

Preferred Education & Experience

Bachelor's degree in Business Administration, Communications, or a related field is preferred.

At least one year of executive administrative support experience is required.

U.S. Citizenship is required for this role.

Work Environment

Location: In-person role based in Needham, MA, with potential flexibility based on the CEO's needs.

Schedule: Standard business hours, Monday to Friday, with occasional flexibility as needed.
