Executive Assistant to the Executive Director

Position Overview 

As the Executive Assistant to the Executive Director, this role provides high-level, one-on-one executive support. Core responsibilities include managing executive-level projects, developing presentations, coordinating schedules and travel, and performing a variety of other administrative and strategic support tasks as needed. This individual serves as a key point of contact and liaison between the Executive Director and both internal staff and external stakeholders. Our current superstar Executive Assistant, a key member of our team, will be stepping away in the coming months. We're hiring now to allow for a smooth transition and the unique opportunity to onboard alongside her.

Primary Responsibilities

Executive Support & Administration

  • Provide high-level administrative support to the Executive Director, including meticulous review and editing of draft documents, reports, and communications to ensure accuracy, clarity, and adherence to company standards
  • Conduct research, synthesize information, and prepare compelling materials for meetings, presentations, and internal/external communications
  • Manage and prioritize multiple projects simultaneously, proactively anticipating needs and ensuring the Executive Director receives the necessary support to achieve strategic objectives
  • Assist with special projects and initiatives as assigned, demonstrating adaptability and a willingness to take on new challenges

Calendar & Meeting Management

  • Strategically oversee and manage the Executive Director’s dynamic and complex calendar, including internal and external meetings, appointments, travel arrangements, and other commitments
  • Proactively manage changes, cancellations, and real-time adjustments with minimal disruption, demonstrating exceptional problem-solving skills
  • Coordinate meeting logistics, including scheduling, preparing agendas, distributing pre-read materials, and taking accurate minutes when required

Communication & Stakeholder Relations

  • Maintain absolute confidentiality at all times, exercising extreme discretion and safeguarding sensitive company information, proprietary data, and personal details
  • Serve as a contact with external stakeholders, expertly facilitating clear, concise, and professional communication on behalf of the Executive Director
  • Act as a central liaison, collaborating cross-functionally with various departments to ensure the smooth coordination of events, meetings, and other organizational engagements
  • Stay closely aligned with the leadership team to ensure timely follow-up on critical actions, coordination of key activities, and alignment on priorities

Qualifications 

  • 5+ years of executive administrative experience or equivalent background
  • Bachelor’s degree preferred or relevant experience and certifications
  • Strong critical thinking and problem-solving skills, with the ability to provide efficient solutions
  • Excellent verbal, written, and organizational skills
  • Expert calendar management skills, including experience with scheduling in multiple time zones (Google Calendar experience preferred)
  • Must be experienced in digital note-taking during internal and external meetings and presentations
  • Must be accustomed to Google applications and Microsoft Office 
  • High degree of integrity and professionalism, especially when dealing with confidential information
  • Ability to multitask, prioritize, and stay organized in a fast-paced, dynamic environment
  • Comfortable working independently and taking initiative to drive projects forward with minimal supervision
  • Exceptional interpersonal and customer service skills
  • Adaptable and flexible—able to pivot quickly in response to shifting priorities
  • Experience with project management software is a plus

Benefits : Madison Strategies Group offers a competitive benefits package including health insurance, 401k, and generous paid time off. 

Salary Range: $55,000 - $65,000 based on experience
