Job Description

A well-established financial services company specializing in credit risk management solutions for businesses and consumers is seeking an experienced Executive Assistant to support the President and CEO in their Scottsdale, AZ office. This role is pivotal to ensuring the efficiency and organization of the executive office. This individual will provide top-tier administrative and operational support, facilitating smooth daily operations and strategic execution. The ideal candidate will demonstrate superior organizational acumen, exceptional communication skills, and the discretion needed to manage confidential and time-sensitive information. The role is hybrid: Monday - Thursday in office, Friday remote.

About the Job:

Executive Support

  • Oversee the President and CEO’s daily schedule, managing meetings, travel, and logistics.
  • Prepare materials for meetings including agendas, reports, and presentations.
  • Manage email and phone communications on behalf of the executive office.
  • Serve as a point of contact between the CEO and internal teams, board members, and external partners.
  • Provide occasional support to members of the senior leadership team.
  • Draft and format internal forms, agreements, and documentation.

Project Coordination

  • Support planning and execution of high-level projects across departments.
  • Monitor project progress and follow up on deliverables and deadlines.

Meeting and Event Planning

  • Arrange and coordinate meetings, including setup, materials, and logistics.
  • Record and distribute accurate minutes and follow-up actions.
  • Organize and manage logistics for corporate events, conferences, and executive functions.
  • Coordinate with vendors and external partners to execute event needs.

Communication Management

  • Compose, proofread, and refine written communications such as internal memos and external emails.
  • Represent the President and CEO in select interactions with legal counsel, vendors, and key stakeholders.

Office Operations

  • Maintain organized digital and physical filing systems for easy access and retrieval.
  • Process expense reports and monitor departmental budgetary activity.

About You:

  • Bachelor’s degree is preferred, or equivalent relevant experience.
  • Minimum of 5 years’ experience supporting C-level executives in a fast-paced environment.
  • Excellent organizational and time management capabilities.
  • Outstanding written and verbal communication.
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and productivity platforms like HubSpot and ZoomInfo.
  • Ability to juggle multiple priorities while maintaining strong attention to detail.
  • Resourceful, proactive problem solver able to work under pressure.
  • Maintains strict confidentiality and demonstrates sound judgment.
  • Willingness to work outside standard business hours when needed.
  • Professional presence and ability to work autonomously or collaboratively.
