POSITION TITLE: Elementary School Secretary -Dolbeare

POSITION SUMMARY:

Under the direction of the principal performs a variety of complex secretarial clerical and record-keeping work including maintenance of student attendance records correspondence phone calls greeting and directing visitors and daily office management. Facilitator for the school/public being served in communicating information problem solving and material acquisition. Work includes both specific routines and broadly defined policies and procedures. Works cooperatively with administration faculty students parents and other School Department personnel requiring knowledge and tact to obtain or to furnish informationm or to provide general assistance.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned

  • Serve as secretary to Principal and faculty which involves a high level of confidentiality.
  • Responsible for determining safety in allowing visitors into the building after verifying identify. Greets visitors and appropriately directs them. Welcomes new families registers new students and assists in acclimating to the school community.
  • Maintain accurate files records and accounts including student attendance report card processing and distribution and other mandatory forms using student information system.
  • Enter all data for new registrations and updates data on current students annually.
  • Assist in preparation of reports on student data.
  • Process approval for parents/guardians seeking access to their students information in student information system.
  • Process mailing of MCAS.
  • Assist order process distribute and maintain materials and equipment and communicate with central office for payment.
  • Facilitates correspondence and communication between the school and community.
  • Maintain the master calendar for the school updates the school web page under direction of the principal.
  • Schedule appointments.
  • Create and maintain regular and confidential files
  • Screen incoming correspondence for importance.
  • Operate and troubleshoot a variety of office equipment.
  • Assist in the preparation of the budget.
  • Process CORI applications for all employees/volunteers.
  • Perform duties relating to students such as monitoring attendance and tardiness responding to accidents illnesses and emergencies resolving bus problems and other issues as they arise.
  • Coordinate registration and screening for kindergarten students and children transferring to Wakefield Public Schools facilitate the two day registration period and week-long screening process. Create and maintain master list of incoming kindergarten students and communicate with parents/guardians.
  • Monitor and maintain the staff attendance system for coverage for all staff in building appoints substitute personnel for all positions not filled. Schedule substitutes for team meetings. Assist/orient substitutes and process time sheets for their compensation.
  • Serve as liaison between school PTO and volunteer parents.
  • Assist teachers in making arrangements for field trips.
  • Screen all visitors to the building via security system and maintains a visitor log and issues visitor badges.

EDUCATION AND/OR EXPERIENCE;

High School diploma or general education degree (GED) two years of previous paid office experience or related experience and/or training; or equivalent combination of education and experience.

PERFORMANCE RESPONSIBILITIES:

  • Ability to operate computers and related computer software and adapt to technology presently or in the future in the office environment.
  • Ability to manipulate a database.
  • Ability to read and comprehend instructions correspondence and memos. Ability to write correspondence.
  • Ability to add subtract multiply and divide.
  • Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Ability to interact positively with the public and deal effectively with all types of people and situations.
  • Ability to develop effective working relationships with students staff and the school community.
  • Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals.
  • Ability to speak effectively before parents staff and students.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
